Presentation Setup and Logistics

During the Conference:

  • Get to your zoom link 15 minutes ahead of time to check in with the host and confirm the presenters are ready with their presentations and able to share their screen.
  • Start your session on schedule, end your session on schedule, and keep the session on schedule.
  • Set any ground rules at the beginning (note that all questions will be taken at the end of sessions this year).
  • For Roundtables, be sure everyone gets a chance to introduce themselves and talk.
  • Briefly introduce the topic for your session and each of the presenters.
  • Control questions from the audience, especially if one person tries to dominate the questioning.
  • If appropriate, summarize key points at the end of the session and weave together any similarities of presentations.

Format of Virtual Sessions:

  • Sessions will be on Zoom, with links accessible on the IFD&TC web site interactive program (available to registrants only).
  • One of the conference organizers will serve as a host for each session, creating the zoom meeting link and handling technical issues.
  • Facilitators will introduce the session, remind attendees to mute their audio, and explain how to ask questions.
  • After introductions, presenters will share their screens as they give their presentation.
  • We’re recommending that questions be saved for the end of the session, after the host stops the recording.
  • Recordings will be made only of presentations and panel discussions, and shared online for registered attendees only after the conference.  Discussion periods and round tables will NOT be recorded, to encourage open and honest group discussion.
